You will ensure that the highest standards of customer service and welcome are demonstrated at all times on the front desk. Your key responsibilities will include check in and check out, coordination and rescheduling of appointments, messaging, emailing, patient relations, and maintaining records and accounts. You will also be required to assist the radiographers with preparing and caring for patients, and assist the commercial assistant with billing and administrative duties. The post holder may also be required to travel to Berlin occasionally to develop and maintain the UK/Germany relationship and to be able to share and adopt country and medneo specific practices.

medneo is an established, innovative German diagnostic imaging company with services across Germany and also in Zurich. medneo's services are tailored to deliver very efficient, high quality imaging services for patients and referrers. medneo has mobile MRI units that were mobilised in 2019, and will be opening its first UK centre in central London in early 2020.


Duties & Responsibilities

  • Managing the front desk. Greeting patients and visitors, in person and on the telephone. Checking in patients and answering or referring enquiries.
  • Booking appointments and sending out appointment letters.
  • Keeping patient appointments on schedule by notifying radiographers of patient's arrival.
  • Monitor time keeping of appointments and advise patients appropriately.
  • Comfort patients by anticipating patient anxieties and answering patient’s questions.
  • Maintaining the reception area keeping it clean and tidy.
  • Manage incoming and outgoing mail in line with department policy.
  • Manage clinical and financial filing systems.
  • Maintains patient accounts by obtaining, recording, and updating personal and financial information.
  • Process payments and advise patients of the processes for payment and insurance claims.
  • Help patients in distress by responding to emergencies.
  • Maintain confidentiality of personal and financial information.
  • Maintain operations by following policies and procedures; reporting needed changes.
  • Prepare patients for examination by going through paperwork, and assisting the radiographers with changing and caring for patients including manual handling and chaperoning.
  • Supervises the ordering of consumables in conjunction with the Centre Manager.
  • Adhere to the ISO 9001:2015 standard and understand the Quality Policy and support the company in its strive to deliver the Quality Management System.

Skills and Experience

  • Experience working in customer service or reception is desirable.
  • Experience working with patients is desirable.
  • Professional telephone skills and able to multi-task
  • Complies, at all times, with medneo’s corporate values, legal and regulatory policies and procedures
  • A positive attitude towards work and a can-do attitude
  • Passionate about learning from different cultures by working closely together with individuals from different countries
  • Attention to detail and a focus in high quality
  • Competent user of MS Office; good IT literacy
  • Excellent English language skills (spoken and written)
